Terms of Service

By using Helmly, you agree to these terms. We've written them in plain English because legal jargon helps no one.

1. Acceptance of Terms

  • By creating an account, you accept these terms
  • If you don't agree, please don't use Helmly
  • We may update these terms (we'll notify you)

2. Description of Service

  • Helmly is a meeting notes and team management application for people managers
  • Available via web browser at app.helmly.io
  • New users receive a 14-day free trial with full Pro access
  • After trial, a paid Pro subscription is required for continued access
  • Existing founding members retain lifetime Pro access as per their original agreement

3. Account Requirements

  • You must be at least 18 years old
  • Provide accurate information when signing up
  • One account per person
  • Keep your password secure
  • You're responsible for activity on your account

4. Pricing and Payment

Free trial:

  • All new accounts receive a 14-day free trial with full Pro features
  • A valid payment method is required to start the trial
  • You will not be charged during the trial period
  • If you cancel before the trial ends, you will not be charged

Pro subscription pricing:

  • £5/month or £50/year (GBP)
  • €6/month or €60/year (EUR)
  • $7/month or $70/year (USD)
  • Currency is auto-detected based on your location with a manual override option
  • Annual plans offer a discount compared to monthly billing

Payment terms:

  • Secure payment processing via a PCI-DSS Level 1 certified provider
  • Subscriptions automatically renew at the end of each billing period
  • You will be notified before any price changes take effect
  • Cancel anytime from your account settings

Refunds:

  • If you cancel, you retain access until the end of your current billing period
  • No partial refunds are issued for unused portions of a billing period
  • Refunds for billing errors are processed within 5-7 business days
  • Contact support@helmly.io for any billing disputes

5. Post-Trial Access

  • If you do not subscribe after your trial ends, your account will be placed on a limited free tier
  • Free tier access is limited to 5 team members and read-only access to existing data
  • You can upgrade to Pro at any time to restore full access
  • Your data is retained for 90 days after your trial or subscription ends
  • We may change free tier limitations with 30 days notice

6. Acceptable Use

You agree NOT to:

  • Upload illegal, harmful, or abusive content
  • Attempt to hack, break, or exploit the service
  • Use Helmly to spam or harass others
  • Share your account credentials
  • Violate any laws while using Helmly

7. Data Ownership

  • You own your meeting notes and tasks
  • We store them securely on your behalf
  • You can delete your account anytime (Settings → Delete Account)
  • Deleted data is removed within 30 days
  • We don't claim any rights to your content

8. Service Availability

  • We strive for reliable service
  • We don't guarantee 100% uptime (maintenance happens)
  • Service provided “as is” without warranties
  • We're not liable for any downtime or data loss

9. Intellectual Property

  • Helmly owns the service, code, design, and branding
  • You own your content (notes, tasks, data)
  • Don't copy, modify, or redistribute Helmly

10. Limitation of Liability

  • Service provided “as is”
  • We're not liable for indirect damages
  • Maximum liability limited to amount you've paid us
  • Some jurisdictions don't allow limitations; these may not apply to you

11. Termination

You can cancel anytime:

  • Trial: Cancel before the trial ends and you won't be charged
  • Pro subscription: Cancel anytime; you keep access until the end of your billing period
  • Delete your account entirely in Settings → Account

We can terminate for:

  • Violation of these terms
  • Illegal activity
  • Abuse of the service
  • You'll receive notice and a reasonable chance to correct the issue first

After termination:

  • Your data is retained for 90 days, after which it is permanently deleted
  • You may request a data export before account deletion by contacting support@helmly.io

12. Changes to Terms

  • We may update these terms
  • You'll be notified of changes via email
  • Continued use means you accept new terms
